PRODUCT SUMMARY
Case Management enables fee earners and support staff to monitor progress and where possible automate tasks associated with the execution of client matters.
Fee earners can be reminded of their daily actions; matters can be inspected to establish actions that have taken place and actions that are to take place; the centralised diary can be queried to establish practice wide activities.
Case Management is fully integrated with Practice and Client Database and interfaces with popular word processing packages such as Microsoft Word, Microsoft Excel, Microsoft Outlook and forms products such as Oyez and Laserform to automate document and form production.
FUNCTIONALITY
Diary Management A centralised diary allows fee earners and support staff to schedule events against client matters. The diary can be viewed by individual fee earners for their own events, by client matter to see actioned and outstanding events and queried to provide general practice diary management. Query fields contained in the diary include: dates (from and to), events, courts, fee earner, client/matter etc. Diary events can be prioritised.
Events Diary events are user-defined and there can be an unlimited number of events. Diary Events can provide simple reminders such as notice of reviews, or they could be used by the practice to manage court appointments and the activities of staff.
Work Flow Engine The work flow engine provides the means by which events are chained together. Events can be chained one to another, they can be chained forwards and backwards (for reminders) and they can be decision making. Events can be programmed to produce documents, forms, emails or SMS text messages and links to internet websites and services.
The flexibility of the work flow engine allows users to define sophisticated work flows to manage volume activities, such as personal injury, conveyancing and immigration. These can be developed by the user or via the standard work flows that we have produced. In execution the work flow will prompt the next activity automatically, but the user does have the option at any time to exit the work flow and separately manage the matter.
Document production Output from the system can be word processing documents, legal forms (Oyez and LaserForm), email and SMS text messages. These can be produced automatically as part of a workflow, or independently by simple document production.
The flexibility of document production allows the user to choose on execution of an event to either accept the documents suggested or choose additional or replacement documents from a standard document library.
Document filing, logging and viewing All output is automatically filed and logged against the client matter. The document log on the matter gives point and click access to the documents so that full text can be viewed on the screen.
Registration of Documents Incoming word processing documents, forms and emails can be logged against the client matter.
Case Progress via the Web Users can register in the database those clients who are permitted to check progress of their matters via the Internet. Clients granted this permission can access their own matter progress in real time from anywhere in the world with Internet access.
Time Recording Case Management can be integrated with the Time Capture system such that time entries are automatically generated by the production of documents and the actioning of diary events.
